The Certificate column in the Requirements grid allows users to easily upload, view, and manage PDF certificates, including tracking issue and expiration dates. Certificates can be added or replaced via the grid or Document Repository, with all updates synchronized. Only PDF files up to 100 MB are supported.
Adding Certificates to the Requirements Grid
The Certificate column in the Requirements grid provides a clearer overview of all certification documents. Users can now easily track and manage Certificates using the following features:
- Column Location: The Certificate column is positioned on the right side of the Requirements list.
- PDF/Document Icon: When a Certificate PDF has been uploaded, a blue PDF icon will appear in the column. This icon is clickable, and will open the PDF in a new tab in your internet browser.
- Missing Certificates: If a Certificate does not exist, or has not yet been uploaded, a "+" sign will be shown instead of the icon.
- Adding a Certificate: Clicking on the "+" sign opens a pop-up window where users can select and upload their Certificate in PDF format.
Note: Only PDF files can be uploaded to the Certificates column. Alternate file types may be uploaded to the Document Repository and related back to requirements, but they will not be accessible from the Certificates column. More information on the Document Repository can be found here.
Replacing an Existing Certificate
Users have multiple ways to replace existing Certificates within the platform:

Management Module: Users can right-click on the PDF icon in the Certificate column and click "Replace".
The resulting pop-up (seen below) will allow you to replace the file and update its issue and expiry dates simultaneously. It will also store a "PDF Log" of every PDF that has been uploaded to the Certificate column. Be sure the click "Save and Exit" to save your changes.

Document Repository: Users can also replace the PDF from the Document Repository. When a document is updated here, it will automatically synchronize and update the License PDF on the Requirements page.
- Locate the Certificate in the Document Repository, then double-click to open its details. At the bottom of the details pop-up, use the embedded file uploader to replace your PDF.
Note: The PDF document in the Management module and the Document Repository are interconnected and treated as a single entity. Any update to one will reflect on the other.
Managing Issue and Expiration Dates
The Issue Date and Expiration Date for a Requirement and its corresponding Certificate are linked together:
- Any changes made to these fields in the Management module will automatically update the corresponding document in the Document Repository.
- This ensures that updates to a Requirement’s dates are consistently reflected across the platform.
Supported File Formats and Size Limits
When uploading or replacing Certificate Documents, users should follow these guidelines:
- Supported File Type: Only PDF files are allowed.
- Maximum File Size: 100 MB per document.
